2. What data we collect
Account data
When you register, we collect your name, email address, and company name. Fleet managers may invite drivers, which involves storing their name and email.
Vehicle and check data
We store vehicle details (registration, make, model) and the results of daily walk-around checks submitted through the platform, including checklist item responses, defect descriptions, and defect photographs.
Driver data
We store driver profiles, digital signatures captured during inspection sign-off, and a history of checks completed by each driver.
Analytics data
With your consent, we use Google Analytics 4 to collect information about how the platform is used. This includes pages visited, session duration, and general device and browser information. This data does not identify you personally and is only collected after you have accepted analytics cookies.
3. Legal bases for processing
We process your personal data under the following legal bases (GDPR Article 6):
- Performance of a contract — account data, vehicle and check records, and driver data are necessary to provide the CeartFleet service you have subscribed to.
- Consent — analytics cookies (Google Analytics 4) are only set after you explicitly accept. You may withdraw this consent at any time (see the Cookies section below).
- Legitimate interests — we may process data for security, fraud prevention, and the improvement of our service, where this does not override your rights and freedoms.
4. Data retention
- Account and company data — retained while your subscription is active and for 90 days after cancellation, to allow for reactivation or data export.
- Vehicle check and defect records — retained for 3 years to support RSA audit trail requirements.
- Analytics data — retained according to Google Analytics 4 default retention settings (14 months for user-level data).
5. Third-party processors
We use the following sub-processors to operate CeartFleet:
- Supabase — database and authentication (hosted in EU region).
- Stripe — subscription billing and payment processing.
- Resend — transactional email delivery (invitation emails, notifications).
- Google Analytics 4 — product usage analytics (only active with your consent).
Each processor is bound by data processing agreements and applicable data protection law.
6. Your rights
Under GDPR, you have the right to:
- Access — request a copy of your personal data.
- Rectification — request correction of inaccurate data.
- Erasure — request deletion of your data ("right to be forgotten").
- Restriction — request that we restrict processing of your data in certain circumstances.
- Portability — receive your data in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests.
- Withdraw consent — withdraw consent for analytics at any time (see below).
To exercise any of these rights, contact us at sean.lynch@boanntech.com. We will respond within 30 days.
You also have the right to lodge a complaint with Ireland's supervisory authority, the Data Protection Commission (DPC), at dataprotection.ie.
7. Cookies
CeartFleet uses one category of cookies: analytics cookies set by Google Analytics 4. These are only placed on your device after you explicitly accept via the consent banner.
If you decline, or if you wish to withdraw consent you have previously given, you can clear your browser's site data for CeartFleet:

- Firefox: Settings → Privacy & Security → Cookies and Site Data → Manage Data → find ceartfleet.ie → Remove.
